Privacy Policy
Effective date: October 4, 2026
BitaPic is a field-operations service operated by Kuneiva Labs LLC (“Kuneiva,” “we,” “us”). Companies (“Customers”) use BitaPic to document field work with photos, manage inventory and calculate worked time for their teams. This policy explains what information BitaPic handles, why, and the choices you have.
1. Our two roles
When your employer or the company you work with uses BitaPic, that company decides what to collect about its team and is responsible for that information; we process it on the company’s behalf and follow its instructions. If you have questions about how your company uses your information, contact your company first. We are directly responsible for the information of the people who create and manage a company account, and for our website.
2. Information we handle
- Account information: name, email, phone number, company, company address if provided, role and the area where you work.
- Profile photo: a face photo, so your company can recognize who is working. We do not perform facial recognition and do not extract facial geometry or biometric templates from any photo. If that ever changed, we would first obtain the consent the law requires.
- Work photos: each photo taken in the app, with its date, time, device location and the job details you choose.
- Location: the app uses your device’s precise location only while the app is open on your screen, to tag photos and organize work stops. BitaPic does not collect location in the background or when the app is closed.
- Work records: when work sessions start and end, worked time, stops, inventory used and notes you send.
- Pay information: pay rate and payment handles (for example Zelle or Cash App), if your company adds them, visible only to authorized administrators.
- Device information: a device identifier and model, to keep each account on one device at a time, and a notification token to send work alerts.
- Billing information: for company administrators, subscription and billing details handled by our payment provider. We do not store full card numbers.
- Acceptance records: when an administrator accepts our Terms or a field user acknowledges the work notice, the date, time, IP address and version accepted.
- Support requests: what you write to us and any screenshots you attach.
3. How we use it
To provide and secure the Service: documenting work, calculating worked time and payment reports, managing inventory, sending notifications, keeping accounts secure, answering support requests, billing and complying with law. We do not sell personal information, we do not share it for advertising, and we do not track you across other apps or websites.
4. Who can see it
- Your company: administrators and the supervisors they authorize, according to their permissions.
- Service providers that run BitaPic for us, only to provide the Service and bound to give your information the same or equal protection as this policy: Google Cloud and Firebase (database, file storage, sign-in, servers), Expo (app updates and notification delivery), Apple and Google (delivering notifications), our website host, the U.S. Census Bureau geocoding service (converts photo coordinates into a city name; it receives coordinates only), OpenStreetMap (map images), Porkbun (support email) and Stripe (payments).
- Authorities, when the law requires it, and a successor company if our business is transferred.
5. How long we keep it
| Information | Kept |
|---|---|
| Company data (photos, work records, inventory) | While the company account is active, read-only or suspended. It may be deleted as described in our Terms starting 60 days after cancellation, non-payment or the end of an unpaid trial; until then it is kept so the account can be reactivated |
| Deleted data | Removed from active systems within 30 days |
| Database backups | Overwritten after up to 98 days |
| Photo backups | Overwritten up to 180 days after the photo is deleted |
| Billing and acceptance records | As long as tax and legal obligations require |
Backups are isolated and used only to recover from a failure. If a backup is ever restored, we re-apply all prior deletions before the data is used.
6. Deleting your account
You can request deletion of your BitaPic account at any time from the app (Profile › My account › Delete account) or at https://bitapic.com/delete-account, which explains each step. If you are a company administrator, deleting your company’s account cancels its subscription and deletes all of its data. If your account was created by your employer, we will forward your request to your employer, which controls your data and may be legally required to keep certain records (for example, time and payroll records); we will delete your data as your employer instructs, and otherwise within 30 days after your employer’s account ends. We may keep limited information where required by law, to resolve disputes or to prevent fraud.
7. Your choices and rights
- Location and notifications: turn them off in your phone’s settings at any time. Without location, photos are saved without it.
- Access, correction and copies: ask your company, or write to support@bitapic.com and we will help or forward your request to your company.
- State privacy rights: depending on where you live, you may have rights to know, correct, delete or obtain a copy of your information, and to appeal a decision. We will not discriminate against you for using them.
8. Security
Information travels encrypted, access is limited by account and role, our own administrative accounts use two-factor authentication, and we keep backups in a separate location. No system is perfectly secure; if a breach affects your information, we will notify you or your company as the law requires.
9. Emails and notifications
We send service emails needed to run your account (invitations, password resets, invoices, trial and account notices); these cannot be turned off while the account is active. Marketing emails, if any, always include a way to unsubscribe. We do not send text messages.
10. Children
BitaPic is only for businesses and people 18 or older. We do not knowingly collect information from children. If we learn that we have, we will delete it.
11. Where information is stored
Information is stored in the United States.
12. Language and changes
This policy is written in English; any translation is for convenience, and the English version controls. We will post changes here and update the effective date, and notify company administrators at least 30 days before a material change.
